Convention and Event Services
When the Amateur Athletic Union held the 14-day Junior Olympic Games for more than 15,500 athletes and coaches in Knoxville...We provided 2,300 volunteers, 500 officials, 23 venues, 150 medical personnel and the expertise to run 24 National Championship events smoothly and on time.
You may not need the full extent of our expertise. But if we can run a sporting event involving 30,000 athletes and families over 14 days, we know we can help make your meeting smooth and memorable. Here's just some of the services we offer for your event:
- Negotiate your venue contract
- Block rooms, contract services and rates, and establish reservation systems - even on-line using Passkey
- Ease the way with transportation options, from buses and trolleys to limo services
- Help you plan staffing and contracts with local agencies
- Pull in volunteers to help with everything from greeting and registration to create name badges
- Loan radios...coolers...additional chairs
- Provide referrals to local services providers...child care...photographers...caterers

KTSC's housing bureau services group, World Ventures Tour and Travel, can make your event as simple as possible. Using our housing services is like having a full time staff at no extra cost to you. We put the Housing Bureau team behind you with extraordinary effort that makes your multi-hotel convention needs simple and hassle-free, leaving you time to handle other meeting function details. World Ventures uses Passkey as its Internet-based reservation system for group events. Once your event is in the Passkey system and open for reservations, attendees can reserve hotel rooms, air reservation or reserve a car rental via the Internet, a toll-free number, fax or email.
The obvious advantages:
- It allows attendees to connect live with participating hotels and the Bureau via the Internet in a secure environment to access and share data.
- It maximizes your ability to get full credit for all the rooms your event fills.
- It allows you to manage inventory down to the sub-block level for multiple attendee categories.
- It gives you proven attrition-fighting e-commerce tools to help reduce hotel attrition clause exposure.
- It provides real-time block and pick-up reports 24/7, plus detailed attendee reports delivered electronically on a daily basis, (more than 100 reports available).
- It allows you to track room pick up and modifications, even after cutoff.
- Attendees with Internet access can reserve hotel rooms online 24 hours a day, seven days a week from anywhere in the world. They can view pictures of hotel properties and rooms, descriptions of rooms and amenities, and maps of the area as well. Each delegates can then make an informed decision based on room quality, location, price and real-time availability.
- Hotels reservations can also be made via a toll-free reservation number or via fax that takes you to the in-house call center staffed with friendly and knowledgeable coordinators.
